Why spreadsheets fail once the business grows
A spreadsheet knows the number you typed, but not that the invoice reduced stock, that a customer has an overdue payment, or that the purchase price changed with the last delivery. The result is familiar: book stock differs from the shelf, receivables are an estimate, and profit is calculated at month end when it is too late to correct anything. Accounting and inventory software links the three: every invoice moves stock, the account and the cash box at the same moment.

- Purchase order then purchase invoice: items enter the warehouse at cost and the supplier balance increases.
- Sales invoice (cash, credit or installments): stock is reduced, the customer balance updates, the cash box receives what was paid.
- Collections and payments: recorded against the party and the cash box or bank.
- Returns: sales or purchase returns restore stock and adjust the account automatically.
- Stock count: physical count against book stock with a clear adjustment entry.
Warehouses: average cost, reorder levels and transfers
Every item carries an average cost updated with each purchase invoice, so invoice profit is calculated on the real cost rather than the last price. Set a minimum per item to be alerted before it runs out, and transfer between warehouses or branches with a transfer note recorded on both sides. Accounts: customers, suppliers, cash and cheques
A statement for every customer and supplier with all invoices, payments and returns, overdue balances with alerts, and incoming and outgoing cheques with due dates. Cash and bank have daily movements and a close, and expenses are categorised so the profit report is truly net.
